1. Executive Logistics and Scheduling
A. Manage the schedule of the BU Head and coordinate with all parties involved in the meeting. Ensure the BU Head and parties involved are properly informed and prepared on all scheduled events.
B. Assist the BU Head in preparing and delivering presentations. This shall include but is not limited to producing and disseminating handouts, conducting technical rehearsals, preparing talking points and proofing presentation materials.
C. Prepare agenda and take minutes of the meeting presided by the BU Head. Distribute it to all attendees for common reference. Secure minutes of the meetings attended by the BU Head and keep it on file for ready reference.
D. Orchestrate resources needed by the BU for the meeting. This shall include but is not limited to reserving room, securing necessary equipment (e.g. projector), ordering food and reminding attendees.
E. Secure funding for BU Head's activities such as preparation of Cash Advances, Reimbursements, Liquidations and the likes. Ensure proper documentation and compliance to financial controls is observed.
2. Office Administration
A. Collect, consolidate, organize and analyze data, create relevant reports and provide useful insights to enable the BU Head to decide in an urgent and effective manner like Sales Reports, Daily Sales Monitoring and Marketing reports: New Product/Promo Monitoring.
B. Filters incoming mails, calls, visits and the likes. Direct parties to appropriate people in the organization who should attend to their agenda. Ensure that only those needing the personal attention of the BU Head will be forwarded for action while the rest are for information.
C. Maintains and keeps copies of important policies, guidelines and other important documents for ready reference of the BU Team such as, but not limited to, Franchisee documents, contracts and associated reports - e.g. audit findings, correspondences, ABM reports.
D. Facilitates Cash Advances, reimbursements, liquidations and the likes for the store. Ensure proper documentation and compliance to financial policies is observed.
- Candidate must possess at least a Bachelor's/College Degree , any field of at least Shift Manager level in store operations
- At least 3 year(s) of working experience in the related field is required for this position.
